Please read these terms carefully before using our services. By registering or booking, you agree to be bound by the following conditions.

General

Agreement to Terms
By registering for any service offered by Azrah's Tutoring Academy - whether private one-on-one tuition or weekend workshops — you (the student or parent/guardian) agree to be bound by these Terms and Conditions in full. If you do not agree, please do not proceed with registration.

Who We Are
Azrah's Tutoring Academy is a private tutoring and academic preparation service based in Cape Town, South Africa, offering one-on-one tuition for Grades 6–12 and intensive weekend workshops for Grade 12 learners preparing for NSC examinations.

Changes to Terms
We reserve the right to update these Terms at any time. You will be notified of material changes via WhatsApp or email. Continued use of our services after notification constitutes acceptance of the revised Terms.

Age & Parental Consent
Students under the age of 18 must have a registered parent or legal guardian, who accepts these Terms on the student's behalf and remains liable for all fees and obligations.

Private One-on-One Tuition

Lesson Scheduling
Lessons are scheduled in advance via mutual agreement between the tutor and the student or parent. It is the student's responsibility to confirm lesson times and ensure they are available at the agreed time. Recurring weekly slots are held exclusively for that student and are not available to others.

Cancellation Policy
We understand that circumstances change, and we ask for the same respect in return. The following cancellation policy applies to all scheduled one-on-one sessions:
• Cancellation more than 2 hours before the lesson: No charge. The lesson may be rescheduled at no cost.
• Cancellation between 1 and 2 hours before the lesson: 50% of the session fee will be charged.
• Cancellation less than 1 hour before the lesson: The full session fee will be charged.
• No cancellation notice given (no-show): The full session fee will be charged.
Cancellations must be communicated directly to your tutor via WhatsApp or the portal (preferred). Please do not assume a lesson is cancelled unless you have received confirmation from your tutor.

No-Show Policy
If a student has not joined or arrived within 15 minutes of the scheduled lesson start time, the tutor will send a WhatsApp/portal message to confirm attendance. If no response is received and the student does not arrive within a further 10 minutes, the session will be considered a no-show and the full session fee will be charged. The tutor's time is non-recoverable.

Rescheduling
Lessons may be rescheduled provided at least 2 hours' notice is given before the original lesson time. Rescheduled lessons are subject to tutor availability and are not guaranteed to fall in the same week. We will make every reasonable effort to accommodate rescheduling requests, but cannot guarantee alternative slots during high-demand periods such as exam season.

Late Arrivals
If a student arrives late to a session, the lesson will still end at the originally scheduled time. No additional time will be added to compensate for late arrival, and the full session fee remains payable. Consistent late arrivals may result in the cancellation of the recurring slot.

Tutor Cancellations
In the rare event that a tutor must cancel a scheduled session, the student will be notified as early as possible. No fee will be charged for tutor-initiated cancellations, and a make-up session will be offered. We aim to give at least 2 hours' notice but cannot guarantee this in emergency situations.

Payment Terms
Session fees are invoiced monthly and are due by the last working day of the billing month. Payment must be made via EFT to the bank details provided. Please use the reference under Billing as payment reference. Late payments may result in suspension of lessons until the outstanding balance is settled.

Conduct & Respect
We are committed to providing a respectful, focused learning environment. Disruptive, disrespectful, or inappropriate behaviour during sessions will not be tolerated. Azrah's Tutoring Academy reserves the right to terminate a student's enrolment without refund if conduct is deemed detrimental to the learning environment or to the wellbeing of the tutor.

Academic Outcomes
While our tutors are highly qualified and dedicated, we cannot guarantee specific academic outcomes or results. Progress depends on a variety of factors including the student's own effort, attendance consistency, and engagement. We commit to providing the highest quality instruction available.

Weekend Workshops

Workshop Booking & Confirmation
Workshop spots are allocated on a first-come, first-served basis using the online booking portal. Once a booking is confirmed and payment or credit allocation is processed, your spot is secured. Confirmation will be sent via email or the portal within 24 hours of booking.

Workshop Credits
Workshop sessions are purchased as credits via one of our packages. Credits are non-transferable between students and may not be exchanged for cash. Credits are valid for the duration of the current workshop programme (May–June 2026) unless otherwise communicated.

Cancellation & Withdrawal Policy
We invest significant preparation time for each workshop. The following policy applies:
• Cancellation with 3+ days' notice before the workshop date: Full credit refund. Your spot will be released and made available to other students.
• Cancellation with 1-3 days' notice: 50% credit refund.
• Cancellation with less than 1 days' notice: No credit refund. The full session credit is forfeited.
• No-show on the day: No credit refund and no make-up session will be offered.
All cancellations must be submitted via the online portal or directly to your tutor via WhatsApp/portal chat.
*We understand that genuine emergencies happen. While the above policies generally apply, exceptions for unforeseen circumstances will be considered on a case-by-case basis.

Tutor or Workshop Cancellations
In the event that a workshop session must be cancelled by Azrah's Tutoring Academy due to unforeseen circumstances, all affected students will be notified as soon as possible. A full credit refund will be issued for any tutor-cancelled session, and we will make every reasonable effort to reschedule within the same programme cycle.

Session Format & Attendance
Each workshop day consists of two sessions. Students may attend one or both sessions, with each session consuming one credit. Students are strongly encouraged to attend both sessions for maximum benefit. Arriving late to a session does not entitle the student to a credit refund or extension of that session.

Workshop Changes & Schedule Adjustments
The published workshop schedule (topics and dates) is planned in advance but may be subject to minor adjustments. Students and parents will be notified of any changes via WhatsApp or the online portal at least 3 days in advance where possible.

Group Size & Tutor Assignment
Each tutor group has a maximum capacity to ensure quality instruction and individual attention. Once a tutor's group is full, students will be assigned to the available tutor. Tutor assignments are final and requests for specific tutors cannot be guaranteed, though we will accommodate reasonable preferences where capacity allows.

Referral Programme
Our community grows through the support of our students. To show our appreciation, we offer a referral bonus for those who help expand the Academy. When a new student joins and purchases their first workshop credit package, the referring student will receive one complimentary Open Workshop credit.

Student Conduct at Workshops
Workshops are collaborative, high-energy learning environments. Students are expected to arrive prepared, participate respectfully, and contribute positively to the group. Disruptive behaviour will result in the student being asked to leave the session without credit refund. Persistent misconduct may result in permanent removal from the workshop programme.

Liability
Students attend workshops at their own risk. Azrah's Tutoring Academy is not liable for any personal injury, loss, or damage to personal property during workshop sessions. Students are responsible for their own stationery, calculators, and study materials unless otherwise communicated.

Privacy & Data

Information We Collect
We collect personal information including name, email address, grade, and contact details for the purpose of managing bookings, processing payments, and communicating about sessions. Parent/guardian information is collected for students under 18.

How We Use Your Information
Your information is used solely to deliver and improve our services, send session reminders and feedback, and communicate schedule updates. We do not sell or share your personal information with third parties for marketing purposes.

Portal Data
Lesson feedback, homework records, and progress notes stored on the Parent Portal are accessible only to the registered parent/guardian and the assigned tutor. This data is stored securely via Firebase and is not accessible to other students or parents.
